Supply Chain Connect

The Supply Chain Connect module in SciveraLENS is designed to help you better understand the chemicals used in your products and processes. This information is typically difficult to collect as the supply chain can be complicated, there are many players, and the information is often proprietary, which suppliers are unwilling to share. With Supply Chain Connect, SciveraLENS acts as a trusted third party between you and your suppliers, allowing you to request information and receive protected assessment results needed to understand better the impacts of your chemicals and inclusion on critical lists of interest and make safer chemical decisions. Here are some of the key features to help you with this important work:

Create New Requests

The “+” next to the Connect menu is a great place to get started when sending requests to your suppliers for chemical ingredient information.

From this menu, create one or many requests for your suppliers.

For each set of requests, you can select your disclosure requirements, whether it be:

  • 100% ingredient disclosure
  • 100% ingredient disclosure + impurities over 100ppm

and if you would like to request:

  • SDS Upload
  • TDS Upload
  • or other documents

Then, enter the requested data:

  • Request Name—The name of the product, recipe, mixture, or information you’re asking your supplier for. This is the name of the request your supplier will see, so we encourage using something they will easily recognize and be able to respond to (for example, the specific trade name of the product you’re requesting instead of something generic like “textile formulation”)
  • Recipient Email—This is the email address to which the request will be sent. The email address is also used to create the account so the recipient can complete the data entry process. We recommend checking with your supplier and confirming this is the correct email address for the person responding to the request. Requests can only be sent to an individual rather than a whole team or department.
  • First Name—of your recipient
  • Last Name—of your recipient
  • Organization—of your recipient
  • Message—can be customized as needed. We have some sample messages included in the User Guide for your reference. We encourage including as much information about the request as possible so your supplier understands what you are asking, how their information will be used and protected, and more about the SciveraLENS platform.

Click the “+” button under the form to add additional rows and requests.

If you would like to create additional requests with different disclosure requirements, please complete a new form for each set of new requirements.

Once you click “Create and send requests”, your suppliers, as indicated in the table above, will receive an email notification inviting them to sign up or sign in to SciveraLENS to complete their request.

Sending and Linking Requests in Formulations

As a Supply Chain Connect user, you can initiate a request in two ways: as individual or group requests through the requests panel or when creating or editing a Formulation.

When building your Formulation, you’ll see an optional “Add Formulations” step in the Formulation Builder process. “Add Formulations” is where you can link existing Formulations or generate requests for data. Select the green “+” button to begin the request process:

If you select Existing Formulation, you can select from other previously created Formulations in your Account.

If you select Received Formulation, you can select from any Received Formulations in your account and incorporate that Formulation into your “parent Formulation”.

If you want to create a new Request as part of the formulation-building process, select “New Request” from the drop-down menu and then “Create Request”. To make your request, follow the prompts to complete the “Create a request” form. You’ll need to add a new Request for each product or child Formulation you are requesting information on, as each will serve as a component in your larger Formulation. The same guidance applies to this form as the above request details. Make sure you verify the email address to whom you are sending the request as they will be the person who will be logging in and completing the data entry. Include specific details about the request – what you’re asking for, how you will be using the information, etc. Here are some quick tips when filling out the request form:

  • We recommend using the product name or Formulation you are requesting from your supplier in the Request Name field.
  • Include the contact information of the person who can input the chemical ingredient information you need.
  • Your message to your supplier can be as simple or detailed as you like. If you are working on a specific project, we suggest including information specific to the program for which you need the supplier’s Formulation information (like disclosure requirements, timelines, etc.). We recommend including a note informing your supplier that all chemical ingredient information will be redacted by default when shared through SciveraLENS. This means no ingredient identifying information will be shared when the Formulation is shared. Below is some sample text you can use when sending a request in SciveraLENS.
    • “Dear (Contact Name),
      We use SciveraLENS, a software solution developed by Enhesa, to better understand the chemicals used in our products and processes. SciveraLENS provides helpful assessment results like list screening and chemical hazard assessments on each chemical so we can identify problematic chemicals and safer alternatives, ultimately creating safer products. Please enter your Formulation for [PRODUCT NAME] into SciveraLENS. [ADD IN ANY SPECIFIC DISCLOSURE REQUIREMENTS] The system will allow you to provide the required information to us without disclosing confidential ingredient information. All data are kept in confidence by Enhesa.
      Please let me know if you have any questions, or feel free to contact the support team [sustainablechemistry.support@enhesa.com]. Thank you.”
  • The concentration field should be completed with the concentration (ex: 0.2) of the ingredient within your product. Your supplier will not see this information.

When you complete and submit this form, your suppliers will receive an email inviting them to create an account for a SciveraLENS free data entry user subscription or log into an existing account. With each SciveraLENS account, users can enter Formulation information and share it with you in redacted form meaning CAS RNs will be hidden from their share and proprietary information will be protected. We offer a free data-entry account so suppliers can respond to your requests at no additional fee. They can always choose to upgrade if they would like to see assessment results for their CAS RNs.

Once you have sent the request to your supplier, you will receive a confirmation email, and your supplier will receive the request via email to the address you entered in the Formulation Request Form. You can view your requests in the Sent Requests menu or as a placeholder in your Formulation details.

Once you send requests using Supply Chain Connect or one of our other plans, they will be listed in your Sent Requests menu.

You can track the progress of your supplier’s responses here in your Sent Requests menu. You’ll notice the request above is “In progress,” meaning it has been sent but has not yet been completed. We will notify you via our automated reminder system if the supplier has yet to complete the response after our 3-touch outreach cadence and suggest that you contact your supplier directly to encourage them to respond.
From this page, you can also:

  • View request details
  • Edit the request
  • Send additional reminders
  • or delete the request

Received Formulations

As your suppliers respond to your requests, each Formulation or response will be added to your Received Formulations menu. For each, you’ll be able to:

  • View the assessment results
  • Track and updates needing review or acceptance
  • View parent Formulations (or other Formulations where you have linked the Received Formulation)
  • Manage any other updates (like Unredaction requests)

Once you have Sent Requests or Received Formulations, these will also be available to link when creating Formulations.

Managing Your Requests in SciveraLENS

If you have sent a request for information to your sub-supplier, you will be able to track and manage these requests using SciveraLENS. Click on Sent Requests in your SciveraLENS account to view any requests you have sent and see the status of each.

“In Progress” means that the request has not been completed yet. When a request is sent, we will send out automated reminder emails to your contact. We’ve also provided a “Remind” button that enables you to send a reminder to a supplier if needed on a specific request. While SciveraLENS provides one place to manage these requests, sometimes a personal email can be very helpful as suppliers often respond best to their direct requests from customers.

If you need to change or update the specific person who will be filling out the request, you can do so by clicking the three dots and selecting “Edit the Request”. You will then update the contact information and message accordingly.

Once your request has been completed, you will be able to review the assessment results in your parent Formulation or in the Received Formulations tab.

Importing Updates to a Received Formulation

If you received a Formulation from another SciveraLENS account and they have made updates to the Formulation, they can send these updates to you through SciveraLENS. Once the Formulation has been updated and shared with you, you will receive an email notification that a Formulation has been updated.

All updates to Received Formulations can be viewed and managed from your Received Formulations page. Here you’ll be able to see a section for “Available Updates?” and can review and import the updates as you desire. When you import the updates, you’ll see all of the places where that Formulation has been linked. Updates will apply to all.

If you don’t want to import the updates to all linked or Parent Formulations, we recommend sending a new request to your supplier for the updated Formulation that you can then link or review without impacting other Formulations in your Account.

You can also view pending updates to a Formulation within the Formulation where you have included the Request. Find the Formulation that has the updates and go to Manage/Edit. Click on the Linked Formulations tab. If updates are available there will be an Import button; click to import the updates.

Requesting Unredaction

One of the reasons users have such success using Supply Chain Connect in SciveraLENS to gather chemical ingredient information is that we protect supplier CAS RNs and ingredient information. All CAS RNs, by default, are shared redacted, meaning you can still see the assessment results for each. Any defining information about the chemical ingredient is hidden or redacted (CAS RNs, common name, specific study details). We also know suppliers are much more willing to disclose one or a few CAS RNs to their customers as needed rather than a whole formulation, so we created the option to request unredaction line by line.

When viewing a Received Formulation that has been redacted, next to each CAS RN, you’ll see a small grey dot. Clicking on the grey dot will show a pop-out on the right side of your screen, allowing you to request unredaction for that CAS RN.

You can update the message field before sending it to your supplier. Your supplier will receive a notification email informing them that you ask them to unredact the CAS RN. The dot will change to yellow as it is pending.

You’ll be notified via email when your supplier responds and can view the response under your Received Formulations menu. The dot will change to green if accepted and red if not. If accepted, you can hover over the redacted CAS RN and common name to view the unredacted information.
